Return and Warranty Policy

Dental Laboratory Returns & Warranty Policy Effective Date: February 2, 2026 This Returns & Warranty Policy applies to all products and services provided by Cowboy Dental Laboratory (the “Laboratory”) to dental offices, dentists, and authorized clients (the “Client”).

1. Custom Nature of Dental Products

All dental restorations, appliances, prosthetics, and related products are custom-made medical devices manufactured specifically for individual patients. As such, returns and refunds are limited and governed strictly by this policy.

2. Non-Returnable Items

The following items are non-returnable and non-refundable: - Custom-fabricated dental restorations once delivered - Products damaged due to improper handling, storage, or modification by the Client - Remakes requested due to changes in treatment plan, shade selection, impression accuracy, bite registration, or patient preference - Cases returned without required documentation

3. Warranty Coverage

The Laboratory provides a limited warranty on workmanship and materials as follows:

a. Fixed Restorations (Crowns, Bridges, Implants) Warranty period: [12 months] from the delivery date Covers defects in laboratory workmanship or materials Does not cover normal wear, patient abuse, parafunctional habits (e.g., bruxism), improper cementation, or clinical error.

b. Removable Appliances (Dentures, Partials, Night Guards) Warranty period: [12 months] from the delivery date Covers laboratory defects only Excludes damage from misuse, poor hygiene, patient non-compliance, or chairside adjustments

4. Remake Policy

Remakes due to verified laboratory error will be completed at no charge within the applicable warranty period. Remake requests must be submitted in writing and include the original case number, reason for remake, and supporting documentation. The Laboratory reserves the right to inspect the original restoration before approving a remake.

5. Adjustments & Repairs

Minor adjustments may be covered if related to laboratory workmanship. Repairs caused by clinical factors, patient behavior, or normal wear are billable.

6. Return Authorization

No product may be returned without prior authorization from the Laboratory. Unauthorized returns will not be accepted and may be discarded.

7. Shipping Responsibilities

The Client is responsible for all shipping costs related to returns, remakes, or repairs unless otherwise approved by the Laboratory. The Laboratory is not responsible for loss or damage during return shipping.

8. Credits & Refunds

Approved remakes may result in a credit applied to the Client’s account. Cash refunds are issued only at the Laboratory’s discretion. Credits do not extend payment terms or waive outstanding balances.

9. Case Review & Documentation

The Laboratory may request: - Original models, impressions, or digital files - Clinical photos or notes - Proof of cementation or delivery date Failure to provide requested documentation may void warranty coverage.

10. Limitation of Liability

The Laboratory’s liability is limited to the original laboratory fee charged for the case. Under no circumstances shall the Laboratory be liable for chair time, lost revenue, patient claims, or consequential damages.

11. Policy Modifications

The Laboratory reserves the right to modify this policy at any time. The policy in effect at the time of case submission shall apply.

12. Governing Law

This policy shall be governed by and construed in accordance with the laws of the State of Texas. By submitting cases to Cowboy Dental Laboratory, the Client acknowledges and agrees to this Returns & Warranty Policy.
